Position Requirements

  • Planning, organizing and managing events, meetings, travels and appointments
  • Handling incoming/outgoing calls and routing calls to the correct person or taking messages
  • Preparing presentations, reports, memos, invoices letters, and other documents
  • Liaising with external (authorities, suppliers) and internal stakeholders
  • Opening, sorting and distributing incoming emails, and other correspondence
  • Handling of expenses, invoices, payments to vendors and travel expenses
  • Writing meeting minutes, reports, executive summaries
  • Filing and retrieving corporate records, documents, and reports
  • Researching and conducting data to prepare reports for review and presentation by boards of directors, committees, and executives
  • Reading and analyzing incoming memos, submissions, and distributing them as needed.
  • Provide general administrative support

Candidate Profile

  • Proven work experience, at least 2 years, as a Personal Assistant or Executive Assistant or similar role
  • University or College Degree will be considered as an asset
  • Excellent knowledge of the English language, both written and oral
  • Excellent knowledge of MS Office – outstanding PowerPoint skills
  • Knowledge of office management systems and procedures
  • Very good public relations skills
  • Very Good communication and interpersonal skills at all levels
  • Excellent organizational and time management skills
  • Ability to multitask and prioritize daily workload
  • A high degree of discretion and confidentiality
  • Integrity, pro-activeness and self-initiative, team spirit, attention to detail
